Description

The Health, Safety and Environment (HSE) Bi-Lingual Administrative Assistant will perform a variety of administrative tasks to support the Director of Health, Safety and Environment (HSE). A bi-lingual skill set in English and Spanish is required for this position. Assists Director of HSE in coordinating services and operations for the HSE Department and associated safety initiatives on both the merchandising and productions sides of the company. The Administrative Assistant is responsible for initiating and coordinating the clerical and secretarial functions required in effective implementation of administrative policies and initiatives of the Bell Nursery HSE Department.


Tasks and Responsibilities:

  • Manage agendas/travel arrangements/appointments etc. for the upper management.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Assist colleagues whenever necessary.
  • Responsible for development and maintenance of databases and other safety reporting tools to compile, calculate, track, report and clean-up data pertaining to safety data.
  • Independently coordinates and monitors departmental accounting activities, maintaining system databases, running reports, verifying accuracy of figures and computations, researching, and responding to discrepancies.
  • Designing, Building, and Narrating Safety Trainings and Orientations with help from the HSE Team Managers.
  • Serves as a resource for various departmental or functional critical and essential issues which may be related to HSE compliance activities and programs.
  • Prepares drafts and finalizes correspondence, reports, statistical data, memoranda, and related material as directed.
  • Facilitate Workplace Orientations and Trainings.
  • Facilitate Safety committees.
  • Research and abstracts information and supporting data in preparation for meetings presentations, work projects, reports, etc.
  • Establishes and maintains an organized system to easily facilitate retrieval and access to materials related to the HSE department.
  • Help all Bell locations with HSE needs.
  • Ensures confidentiality of the records maintained within the department as required by Laws and the company.
  • Order and maintain supplies.
  • Other administrative duties as established and directed.

Qualifications

Requirements:

  • Bilingual skillset in Spanish and English
  • High School Diploma (or equivalent); some college experience preferred.
  • Two (2) years of admin experience
  • Strong interpersonal skills
  • Strong accuracy and detail orientation
  • Proficiency with Microsoft Office (Strong Excel skills)
  • HSE, Retail and/or Live Goods Industry experience is a PLUS
  • Excellent communication skills, including phone/verbal and written communications
  • Detail Oriented.
  • Experience working in a team environment as well as individually.
  • Strong problem solving and analytical skills.
  • Ability to work in in time-sensitive situations.
